Terms of Service

Please read these Terms of Service ("Terms") carefully before using Project Coach Me. By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. About the Service
Project Coach Me provides a software-as-a-service platform ("the Service") that enables fitness and performance coaches ("Coaches") to manage clients, build training programmes, track progress, schedule sessions, and process payments. Clients of coaches ("Clients") may also access the Service to view programmes, log sessions, and communicate with their coach.
2. Eligibility
You must be at least 18 years old to create an account. By registering, you confirm that the information you provide is accurate and that you have the legal capacity to enter into these Terms.
3. Accounts
You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Notify us immediately at admin@projectcoachme.co.uk if you suspect unauthorised access. We reserve the right to suspend or terminate accounts that violate these Terms.
4. Subscriptions and Payments
Paid plans are billed monthly in advance. Prices are displayed in GBP and are inclusive of VAT where applicable. Payments are processed by Stripe. We do not store full card details.
Pro and Elite plans include a 14-day free trial. You will not be charged until the trial period ends. You may cancel at any time before the trial ends without being billed.
Subscriptions renew automatically unless cancelled before the renewal date. If a payment fails, we will notify you and your account may be downgraded to the Starter plan until payment is resolved.
We do not offer refunds for partial billing periods. If you cancel, you retain access to your paid plan until the end of the current billing cycle.
5. Plan Changes
You may upgrade or downgrade your plan at any time. Upgrades take effect immediately and you will be charged a pro-rated amount for the remainder of the billing cycle. Downgrades take effect at the start of the next billing cycle.
6. Acceptable Use
You agree not to use the Service to:
- Violate any applicable law or regulation.
- Provide false or misleading information to clients or to us.
- Upload or transmit malicious code, spam, or any content that infringes third-party intellectual property rights.
- Attempt to gain unauthorised access to any part of the Service or another user's account.
- Use the Service to harass, abuse, or harm any person.
We reserve the right to remove content and suspend or terminate accounts that violate this policy, without notice where necessary.
7. Coach Responsibilities
Coaches are solely responsible for the training programmes, advice, and guidance they provide to their clients through the platform. Project Coach Me is a software tool and does not provide fitness, medical, or health advice. Coaches should ensure they hold appropriate qualifications, insurance, and comply with all applicable professional standards.
Coaches are also responsible for obtaining any necessary consents from their clients before processing client personal data through the platform, in accordance with applicable data protection law.
8. Intellectual Property
The Project Coach Me platform, including its design, code, and content, is owned by us and protected by copyright and other intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose.
You retain ownership of all content you upload to the platform (programmes, client notes, etc.). By uploading content, you grant us a limited licence to store and display it as necessary to provide the Service.
9. Data and Privacy
Our collection and use of personal data is governed by our Privacy Policy, which forms part of these Terms. By using the Service, you agree to our Privacy Policy.
10. Availability and Modifications
We aim to maintain 99.9% uptime but do not guarantee uninterrupted access to the Service. We may perform maintenance or updates that temporarily affect availability; we will endeavour to give advance notice where possible.
We reserve the right to modify or discontinue features of the Service at any time. We will provide reasonable notice of material changes.
11. Limitation of Liability
To the fullest extent permitted by law, Project Coach Me shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to loss of data, loss of revenue, or personal injury resulting from coach advice delivered via the platform.
Our total liability to you for any claim arising from these Terms or the Service shall not exceed the total fees paid by you in the 12 months preceding the claim.
12. Termination
You may close your account at any time from your account settings or by contacting us. We may suspend or terminate your account if you breach these Terms or for any other reason with reasonable notice, except where immediate action is required to protect the Service or other users.
Upon termination, your data will be retained for 90 days and then deleted, as described in our Privacy Policy.
13. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
14. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or via a notice on the platform at least 14 days before they take effect. Continued use of the Service after that date constitutes acceptance of the revised Terms.
